Webinar Cost & ROI Calculator

Built for how coaches and course creators actually run webinars — free, VIP-seat, or fully-paid, selling direct on the page or booking a call — with the PIF-vs-payment-plan split that decides what you actually collect day one. Not a repurposed B2B pipeline calculator.

How to read these numbers

Show-up rate: what's actually normal

Across roughly 12,400 webinars analyzed by major webinar platforms in 2025–2026, the typical live show-up rate runs 40–50% of registrants, averaging around 47–49%. Warm, retargeted, or list-driven traffic sits at the top of that range; cold paid traffic and automated/evergreen replays usually run lower — 20–35% isn't unusual there. If yours is well under 20% even for a live webinar, the leak is usually reminder sequencing (email + SMS the hour before), not the offer itself.

If there's a survey/qualifier step, it changes your real "registrant" number

A lot of webinar funnels don't stop at the opt-in — after registering, people get routed to a short survey or qualifying form (a Tally embed, a few questions) before landing on the confirmation page. Only the people who finish that step are really "confirmed" — that's the number your show-up rate should be measured against, not raw opt-ins. It's also usually the more useful number to optimize cost against ("cost per qualified lead"), since a cheap opt-in that never finishes the survey isn't worth much.

Close rate depends on price point — and whether you're selling direct or to a call

A low-ticket webinar (under $500) can close at 10–20%+ of attendees, direct on the page. A high-ticket offer sold directly on the webinar — no call in between — realistically closes in the 1–8% range of attendees, and most published benchmarks for $2K–$25K offers cluster toward the lower half of that. If your funnel instead routes attendees to a booked call — which is how most true high-ticket coaching actually sells — expect 10–20% attendee-to-booked-call, with the real close rate happening on that call (often 20–40%, varies a lot by qualification and offer). Those are two different funnels with two different numbers — the calculator above models each one separately depending on what you pick in step 1.

Free vs. VIP-seat vs. fully-paid — why the ticket type changes the math

A free webinar optimizes purely for reach — more registrants, no revenue until the backend offer. A VIP-seatwebinar keeps registration free but offers a paid upgrade — the point isn't really the upgrade revenue itself, it's that VIP buyers have already proven intent to spend, so they typically convert on the backend at a noticeably higher rate than free attendees, and the VIP revenue itself gives you real cash to justify (or fund) scaling ad spend before the backend offer even closes. A fully-paidwebinar filters hardest at the door — fewer registrants, but everyone who shows up already paid, which usually means a higher-intent room. Ticket revenue and backend offer revenue are kept as two separate numbers in the calculator on purpose — blending them into one total hides what's actually funding your ad spend versus what's the real payoff.

PIF vs. payment plans — why day-1 cash isn't total contract value

Total contract value (buyers × price) is what the offer is worth on paper. Cash collected day one — PIF buyers at full price, plan buyers at just their down payment — is what actually hits the account and funds next month's ad spend. Confusing the two is the most common way a webinar funnel looks profitable on a spreadsheet and isn't, cash-flow-wise, for another 30–60 days. (Note: there's no reliable published benchmark for a "typical" PIF-vs-plan split or down-payment % across the industry — the calculator's defaults are reasonable starting assumptions, not data. Swap in your own real numbers once you have a few sales to look at.)

Show-up rate and close-rate ranges above are drawn from public 2025–2026 webinar benchmark research (ON24, GoTo, BrightTALK aggregate data, and published high-ticket conversion studies), not invented — treat them as a sanity check for your own numbers, not a guarantee. Every funnel is different; this exists to help you reality-check the math, not replace tracking your actual results.
